How to set up Camp classes in Bookiphy?

This guide will walk you through the process of setting up products or activities for your centre's club in Bookiphy. Using Bookiphy you can set up 4 types of activities.

Types of Activities You Can Create in Bookiphy:

Subscriptions

Best for collecting recurring payments automatically — weekly, monthly, or at custom intervals.

Camp Bookings

Great for block-based programs where customers book full weeks or selected days, with upfront payment. Now includes add-ons, flexible days, full weeks, or full duration options.

Ad-hoc Sessions

Ideal when customers want to book and pay for individual dates, one at a time.

Flexi Bookings

Perfect for 1:1 sessions, private lessons, or appointments where customers choose from available time slots.

Bookiphy allows you to manage these offerings efficiently. If you haven't already setup any subscription products in bookiphy, this is how you can do it.

Setting Up A New Activity or Class as Camp Bookings

1. Add a New Activity

• Click the + button in the top right corner of your screen.

• Choose Add Activity from the menu.

• You'll then see two options:

  • Create New – Start from scratch and build a new activity.

  • Clone Activity – Copy an existing activity if it’s similar, then just tweak the details.

2. Select Activity Type : 

Select your category (e.g., Tennis) or create your custom activity category.

3. Select Booking Type

• Choose Camps & Add-ons

This lets customers book by day, week, or full duration, and includes extras like early drop-off or meals.

• Name your camp (e.g., “Tennis Camps”).
• Select the class time.
• Choose the Venue and assign Age Groups.

4. Update the schedule and prices.

• Choose your start and end dates (e.g., 4 Aug 2025 – 15 Aug 2025).
• Select which weekdays the camp runs (e.g., Mon–Fri).

Note: Users won’t be able to select random days for camp. All listed days will be auto-selected.

Use Edit View if you need to exclude specific dates or months (e.g., school holidays).

Click and select the days you would like to run the camp and click on Submit.

4.1 Choose How Customers Can Book

You’ll see three booking options:

• Full Weeks – Book Monday to Friday in one click

• Flexible Days – Choose specific days

• Full Duration – Book the entire camp as one unit

Tip: You can enable more than one option if needed.

4.2 Update prices as per the age groups

Set prices for each age group:

• Weekly rate (e.g., £80)

• Per-day rate (e.g., £20)

Bookiphy will auto-calculate based on the dates and booking method selected.

 5: Add Optional Services (Add-ons)

Enhance your camp by offering optional extras:

• Early Drop-off (e.g., £10/session at 5:00 PM)

• Late Pick-up (e.g., £10/session at 7:00 PM)

• Meals – Add meal titles and pricing, Attach weekly menus if required.

• Custom Events – e.g., Sports Day, Field Trips

Customers can select these during checkout. Add images or descriptions if needed.

Once the availability and pricing sections are updated it will look like below:

6. Update description, attendee instructions, and images (use our free stock images if required

• Description – Briefly explain what the class offers.

• Attendee Instructions – Mention any important reminders (e.g., bring water bottles).

• Activity Image – Upload a photo or use Bookiphy’s free stock image library.

7. Make sure stripe is connected for collecting payments, and update offline payments if required.

Offline Methods – You can also enable cash, bank transfer, childcare vouchers, etc. (Note: Offline payments must be manually reconciled).

8. Update minimum cut off booking time and waitlisting and visibility settings

Min cut off booking time: Set how many hours before the class a booking must be made.

This prevents customers from booking at the last minute.

Waitlist Option – Turn this on to collect interest when spots are full.

Visibility – Keep the class Public (shown on booking page) or set to Private if you want to share it with selected users only.

9. Preview Booking Form : Change brand settings and submit a request for your custom url.
