How to collect setup fees or one-off fees in Bookiphy?

Bookiphy allows you to charge a one-off setup fee (also known as a registration or joining fee) for activities such as Subscriptions or Camps.


This is ideal for clubs that want to collect a one-time payment when a student first joins — for example, to cover registration, uniforms, or starter kits.


Where to Configure One-Off Fees

Go to Club Settings → Products → Edit Activity → Booking Settings

You can set up one-off fees either when creating a new activity or by editing an existing one.


How to Add a One-Off Fees

  1. Go to Club Settings → Products.

  2. Select the activity you wish to edit (or click Add Activity to create a new one).

  3. Head to the Booking Settings tab.

  4. Scroll down to the section titled “One-off Joining Fees.”

  5. Enter the amount you want to charge (e.g. £50).

  6. Optionally, add a short note or description explaining the purpose of the fee (e.g. “A one-time registration fee includes a club T-shirt and water bottle.”)

  7. Click Save to apply your changes.



How It Works for Customers

  • The one-off fee will be automatically added to the first payment when a customer books an eligible activity (Subscription or Camp).

  • Returning customers booking the same activity again will not be charged the one-off fee a second time.

  • The fee amount and note will appear clearly on the checkout summary and receipt.


Tip: One-off fees help clubs cover setup costs and streamline new registrations without having to invoice separately.
