Customising Your Club Features with Bookiphy

Your Club Features in Bookiphy allow you to customise how your booking page looks, how customers interact with it, and what options they see during booking.


You can access these features from two key areas:

  • Design Form – to customise your booking page appearance and text.

  • Advanced Settings – to configure booking behaviour, cancellations, space availability, and email alerts.


Step 1: Update Design Features

  1. Go to Form Settings → Design Form.

  2. Here, you can preview how your booking form appears to customers.


You can update the following sections:


Labels & Text

Customise the text displayed to your customers, such as:

  • Available Text: e.g. “Info & Booking”

  • Waitlist Text: e.g. “Join Waitlist”

  • Unavailable Text: e.g. “Fully Booked”


Tip: If you leave these blank, default system labels will be used automatically.


Font Family

Choose a font style for your booking page to match your brand identity.

Example: Poppins (default)


Colours & Background

Adjust the colour theme of your booking form using the colour selectors:

  • Background: Choose a page background colour (e.g. Dawn Pink)

  • Checkout Button: Change button colour and text colour

  • Activity Background / Text: Customise card background and font colours


You can always click Reset to Default to revert to the original style.


Contact Details & T&Cs

Add your club’s contact information and booking policy links:

  • Contact Details: Add phone number, email, and website.

  • Booking Terms & Conditions: Add your club’s terms for parents and customers to review.


Step 2: Configure Advanced Club Features

Go to Form Settings → Registration Form → Next → Advanced Settings> Space Availability 


Control how space availability appears to customers on your booking page. This helps create a clean, user-friendly display and avoids showing large space counts (like 50+), which maybe unnecessary.

  • Available:

    When there are more than 10 spaces remaining, the system shows “Available” instead of the actual number.

  • Few spaces left:

    Once spaces drop below 10, the system automatically starts showing the remaining count (e.g. “8 spaces left”).

  • Unavailable:

    When all slots are filled (i.e. 0 spaces left), it displays “Unavailable.”


Tip: This setup keeps your booking page looking neat while still signalling urgency when availability starts to fill up.



Step 3: Global Settings


Your Global Settings control core business information, invoice layout, and trial policy.

Access them under Global Settings

3.1 Account Settings


Path: Global Settings → Account 

Update your organisation details. These appear on your booking page, invoices, and customer emails.


Field

Description

Centre Name

Full club name as it appears publicly.

Display Name

Short name shown across your booking forms.

Contact Name

Primary contact or admin.

Description

**Brief summary of your club’s services and timings which will be displayed in your booking form

Username

Unique Bookiphy ID (auto-generated).

Email Display Name

Name displayed in system emails.

Phone Number

Contact number for parents or customers.

Address / Display Address

Physical or mailing address (used in invoices).

Country, Timezone, Currency

Set these to your local region and business currency.



3.2 Invoice Settings

Path: Global Settings → Invoice

Customise how your invoices are formatted.


Setting

Description

Logo

Add or change via My Account → Profile (available on paid plans).

Invoice Header & Footer

Add club address, tagline, or payment instructions.

Notes

Include bank details or refund policy text.

Invoice No. Format

Choose your prefix and numbering (e.g. INV10001).

Currency & Date Format

Match your regional standards.




3.3 Trial Booking Settings

Path: Global Settings → Trial

Control how free trials are applied to new students.


Options:

  • One Trial Per Student Per Account – a student can take one trial across all products.

  • One Trial Per Product Per Student – a student can take one trial for each specific product.


Choose the rule that matches your club’s onboarding style.
