Managing your team is simple with Bookiphy. You can assign staff the right access and control which parts of the platform they can use—based on their roles.
Follow these steps to add staff to your club:
Step 1: Go to Centre Access Control
In your admin dashboard, navigate to: Club Settings > Centre Access Control
2. Step 2: Add a New Staff Member
Click “Add Staff”
Fill in the staff member’s name, email address, and other details
Assign the appropriate access level and locations/venues based on their role in your club
This helps ensure each staff member has the right tools and permissions to manage their responsibilities efficiently.
Access Types Explained
Comms & Check In-Out Access
Gives access to:
Student sign-in/out
Registers
Student profiles
Messaging (chats) and accident reports
Ideal for frontline staff managing arrivals and dismissals.
Billing & Payments Access
Gives access only to the Billing and Payments sections in Bookiphy.
Best for finance managers or accountants.
Operational Access
Provides access to all modules except billing and payments.
Perfect for general staff like coaches or activity leaders.
Secondary Admin – Full Access
Gives complete access to all areas of the platform.
Ideal for your secondary administrators or club managers.
⚠️ Important Note
Don’t forget to give staff access to the right classrooms!
To do this:
Go to Club Settings > Age Groups
Edit the relevant age group and assign the staff member to that room/class
This ensures they can view registers, manage sign-ins, and handle activities within their assigned groups.
? What If a Staff Member Forgets Their Login?
No problem!
Just go to Centre Access Control, find the staff member’s profile, and click “Send Login Details”. They’ll receive an email with the info they need to log in again.
