Want to offer personalised 1-to-1 sessions or let customers book flexible time slots—like coaching, consultations, or party rooms? Flexi Bookings are just what you need!
Here’s how to set it up:
Setting Up A New Activity or Class as Flexi Booking.
Step 1: Add a New Activity
Click the + button in the top right corner of your screen.
Choose Add Activity from the menu.
You'll then see two options:
Create New – Start from scratch and build a new activity.
Clone Activity – Copy an existing activity if it’s similar, then just tweak the details.
For Booking Type, select Flexi Bookings.
This option is perfect for personalised sessions like coaching, private events, or room hires.
Activity Name – Give your session a clear and simple name.
Time – Pick the weekly time slot.
Venue – Choose where the class takes place (or mark it as online).
Age Group – Select who the session is for.
Step 3: Choose Availability & Pricing
Class Summary – Select the days your class will run each week.
Billing Frequency – Set how often customers will be charged.
Price – Add your subscription or booking fee.
Step 4: Add a Description and Image
Describe Activity – Tell parents what their child can expect (fun, learning, etc.).
Attendee Instructions – Add any notes for parents (e.g., bring a water bottle).
Activity Image – Upload a photo that best represents the class.
Step 5: Payment Setup
Stripe Connect – Link your Stripe account to enable online payments. Please Note: Connecting Stripe is mandatory to proceed with setting up bookiphy products.
Offline Payments – Add other options like cash, cheque, or childcare vouchers.
Custom Instructions – Set a button name and add notes for offline payments.
Step 6: Booking Settings
Booking Cut-Off Time – Set how many hours before the class a booking must be made.
Waitlist Option – Turn this on to collect interest when spots are full.
Visibility – Keep the class Public (shown on booking page) or set to Private if you want to share it with selected users only.
Minimum Booking Time - This sets the shortest session duration a customer can book within the selected time range.
Example: If set to 1 hour, customers can only choose time slots that are at least 1 hour long (e.g., 9:00–10:00 AM or 3:30–4:30 PM).
- Maximum Booking Time - This sets the longest session duration a customer can book within the selected time range.
Example: If set to 3 hours, customers can book slots up to 3 hours long (e.g., 10:00 AM–1:00 PM), but not more.
Customers can only book sessions that fall entirely within the defined time range (e.g., 09:00 AM – 07:00 PM), and the selected duration must be between the minimum and maximum you’ve allowed.
Step 7: Preview Your Booking Page
Once your activity is ready, click Preview Booking Form to see how it looks to parents.
Use filters (date, venue, activity type, etc.) to see different views.
On the right side, you can tweak design settings like button text, fonts, and colours to match your branding.
